Rantalainen Group is a leading expert organization providing financial management and payroll administration services to over 25,000 client companies across the Nordic countries. Rantalainen’s collaboration with Koho PSA began in 2015 when Rantalainen was searching for a new PSA system and decided to explore Koho Sales’ offerings.

At that time, Koho PSA was still in its startup phase, but Rantalainen was convinced by its potential. After about six months of discussions, Koho PSA was implemented in Rantalainen’s first offices in spring 2016. Rantalainen quickly recognized the advantages of Koho PSA for their business. The automation and streamlining of billing freed up a full workday per month for accountants to dedicate to client work.

According to M&A Director Kimmo Martikainen, the versatile features of Koho PSA were a significant factor in the decision to invest in the software, and many of these valuable features are still in use today. For example, work orders that facilitate the management of recurring client tasks are popular among managers, accountants, and payroll specialists. Another notable feature is Koho PSA’s ability to separately measure actual working hours and time spent on client work. This was particularly important for tracking working hours and occupational safety inspections.

Additionally, the resource management tool is one of Koho PSA’s most essential features for Rantalainen. This tool balances the payroll specialists’ workload during peak periods, ensuring it remains manageable without compromising their well-being.

“In terms of periods of peak demand, we have the flexibility to reorganize workloads. If a payroll specialist has a particularly high workload in a given week, we can redistribute that workload to other specialists. In this regard, Koho PSA is an excellent tool,” Kimmo Martikainen clarifies.

Easy implementation and usability

Koho PSA has proven to be both easy to implement and user-friendly. Rantalainen has over 70 offices in Finland, some of which are Swedish-speaking and some Finnish-speaking. Additionally, the company has business operations in Sweden. Koho PSA supports multiple language variations and allows new offices to quickly adopt it without major IT arrangements. The system’s centralized updatability has also been an important feature for all RAN Group offices.

Koho PSA is integrated into Rantalainen’s daily routines

At Rantalainen, Koho PSA plays a central role in daily operations. All client information is stored in Koho PSA, and billing data is automatically generated there before being transferred to the accounting system. Vacations and other leaves are also recorded in Koho PSA and transferred to the payroll system. Therefore, Koho PSA combines all information related to organizing and executing work.

Koho’s PSA practice management software facilitates the entire process, from tenders and contracts to task management and automatic invoicing. Once information is entered into the system, it is immediately available in customer, contract, and billing records. Data is easy to modify and maintain. For example, you can view incomplete and invoiced work or the monthly value of contracts at a glance.

It is estimated that expert companies often lose part of their billing because employees hesitate or forget to report all the work they do for clients. With Koho PSA, however, all work phases end up on the invoice because the system instructs employees on what to do and when to do it for each client. This positively impacts both the company’s cash flow and customer satisfaction by ensuring that tasks are completed on time.

About ten years ago, sales work in accounting firms still consisted of responding to requests for quotations. Before major industry players like Rantalainen emerged, accounting firms did not independently evaluate or develop their sales processes. Koho PSA offered Rantalainen a key benefit: the ability to adapt its business model when the entire group shifted to fixed monthly prices, as requested by clients, thanks to the new PSA system.

Martikainen states that they aim to expand Koho PSA to Sweden and Norway in the future through potential accounting firm acquisitions. According to his estimates, Koho PSA could first expand to Sweden because the system already has a Swedish-language version and Koho’s customer service includes Swedish speakers.
